Toxics Action Center Events Planner & Administrative Assistant
At Toxics Action Center, we believe that all people have the right to breathe clean air, drink clean water and live in a healthy community. Our mission is to work side by side with communities to develop the skills and strategies needed to cleanup and prevent toxic pollution. Through our work, we also aim to develop new leaders to continue to broaden the environmental and social change movement.
Since 1987, Toxics Action Center has assisted more than 525 neighborhood groups working to prevent and clean up toxic pollution in their communities. Toxics Action Center provides organizing and strategic assistance to community groups working to clean up toxic waste sites, pressure companies to reduce the use of toxic chemicals, and stop the siting of unsafe waste, industrial, and energy facilities. Through our unique grassroots trainings; our network of hundreds of neighborhood activists and environmental experts; and our organizing conferences that annually attract more than 600 attendees throughout New England, Toxics Action Center works side-by-side with residents to protect our families and the environment from toxic chemicals and promote citizen leadership and empowerment.
Job Responsibilities
The staff person will develop and maintain systems that document Toxics Action Center's history and accomplishments. The staff person will play a major role in the planning of our Dirty Dozen Awards, Conferences, Leadership Retreats, and our 20 th Anniversary Party. In the Administrative Assistant capacity, the staff person will work closely with the development staff, organizing staff and the Executive Director on a wide range of issues and tasks. The staff person will also field calls from local community groups in need of assistance, and perform research to answer local activists' questions. Specifically the Events Planner and Administrative Assistant will do:
- Event Planning. Organize the Southern New England States Conference and assist in the coordination of all other New England conferences. Plan and implement Dirty Dozen Awards press events, staff retreats and leadership retreats for activists. Assist the Development Director in the planning and implementation of the 20 th Anniversary Party.
- Maintain an Information Repository. Assure good systems for health and environmental information, organizing work and financial records. Share this information with staff and community groups. Track all information on organizing meetings, coalition meetings and other direct assistance.
- Publicity and Outreach. Collect media articles and mount them in a presentable way for foundations. Share recent media clips and updates with staff. Provide updates to the Fund for Public Interest, State Public Interest Research Groups and the Center for Health Environment and Justice on our organizing efforts for publication. Cultivate community assistance referrals from other organizations.
- Our Network. Expand our expert referral network in each state and make information available to the staff. Answer member inquiries and connect expert referrals and community groups with the appropriate staff person.
- Organizational Support. Maintain the website. Assist in developing and managing budgets, and income and expense monitoring forms. Provide support for our major donor drives, such as printing and compiling the materials. Coordinate Board meetings. Maintain the database, email accounts, and report staff attendance. Cultivate relationships with universities to attract interns. Develop and manage the internships. Update our Membership Services department with information regarding new members and major donors.
- Materials. Coordinate the development of Toxics Action Center'es newsletters and annual reports. Take inventory and place orders on stationary and business cards.
- Finances. Manage and track income and expenses. Ensure that all income from membership, donations, major donor, and sponsorships is deposited and recorded correctly. Ensure that vendors are paid on time and staff is reimbursed for work-related expenses.
- Fundraising. Assist in writing grants, identifying and cultivating donors to the organization. Participate in all-staff major donor drives twice a year. Depending on years of experience, staffer may also run a summer fundraising and outreach canvass office.
